Position Overview

The Contract Specialist provides essential administrative and operational support in the preparation, coordination, and management of project contracts and related documentation. This role bridges the gap between project management, engineering, and accounting teams—ensuring that all contract activities are processed efficiently, accurately, and in compliance with company policies and client requirements.

This position is ideal for a detail-oriented professional who thrives on organization, communication, and documentation accuracy.

Key Responsibilities

  • Prepare, review, and track subcontract agreements, work authorizations, change orders, and related documentation.
  • Maintain organized records of executed contracts, insurance certificates, and compliance documents in company systems (SharePoint, project folders, trackers, etc.).
  • Support project setup and closeout activities, ensuring all administrative requirements are completed.
  • Assist in collecting signatures, distributing documents to internal teams and external partners, and monitoring contract status.
  • Coordinate with Project Managers to ensure scope, budget, and schedule align with executed agreements.
  • Provide general administrative support such as meeting scheduling, document formatting, data entry, and report preparation.
  • Help maintain standardized templates and ensure all contract documentation meets company and client standards.
  • Assist with procurement requests, proposal formatting, and prequalification submissions as needed.

Qualifications

  • Associate’s degree in Business Administration, Construction Management, or related field preferred.
  • 2+ years of experience in contract administration, project coordination, or administrative support (construction, low-voltage, or related industry experience a plus).
  • Strong attention to detail and document management skills.
  • Proficiency with Microsoft 365 (Word, Excel, Outlook); experience with SharePoint or project management software preferred.
  • Excellent written and verbal communication skills.
  • Ability to work independently while managing multiple priorities in a fast-paced environment.

Travel Booking

  • Manage travel bookings, primarily on Mondays and Fridays where it’s typical to require a half day of dedicated time.
  • Ensure accurate itineraries and travel documentation for all team members.

Departmental Support & Backup

  • Provide trained backup support for Landscaping operations as needed.
  • Provide trained backup support for Vending operations as needed.
  • Provide trained backup support for the ISP department (inbound phone calls).

Job Type: Full-time

Pay: $60,000 to $70,000 DOE
