About the Role:
Apex Imaging Services is seeking a detail-oriented and strategic Proposal Specialist to lead the development of tailored proposals and provide comprehensive support for the momentum of an agile Business Development team. This role focuses on crafting compelling materials that effectively communicate Apex’s unique solutions and capabilities while addressing complex program requirements.
Working closely with the Business Development and Marketing team, the Proposal Specialist will utilize provided assets, graphics, and branding guidelines to create high-quality proposals and materials. Additionally, this role emphasizes market and industry research to support the Business Development team with valuable insights and solution strategy development to address complex client needs.
Knowledge and Skills Required:
· Preferred Bachelor’s degree in Business, Marketing, Communications, Technical Writing, Graphic Design, or equivalent work experience.
· A minimum of 5+ years of experience in marketing and proposal development within a professional services field
· Ability to work in a fast-paced, deadline driven environment managing multiple projects simultaneously
· Proven experience in marketing proposal creation
· Demonstrates creative thinking and problem-solving abilities to develop innovative proposal solutions
· Proficiency in proposal writing and editing demonstrating attention to detail and accuracy
· Strong understanding of Business and Marketing strategies and leading practices
· Proficient with marketing-related software programs
· Strong collaboration and interpersonal skills to work effectively with diverse teams
· Well-organized with a customer-oriented approach
· Good knowledge of market research techniques and databases
· Excellent knowledge of MS Office, marketing computer software, Dropbox, and online applications (CRM tools, Online analytics, Google AdWords, Canva, Adobe, etc.)
Key Responsibilities:
The responsibilities of the Proposal Writer include but are not limited to:
· Develop tailored marketing proposals that showcase our services, strategies and expertise.
· Conduct market research to align proposals with industry trends and leading practices
· Customize proposal templates and design elements to align with brand guidelines and target audience expectations.
· Ensure proposals are well-organized and effectively communicate the value we offer to potential clients.
· Coordinate RFP and proposal submission process ensuring timely delivery to clients, start to finish.
· Analyzes RFP and proposal conversion rates and the effectiveness of each to determine conversion successes.
· Collaborate with internal teams to build solution strategies for complex, multi-faceted programs.
· Coordinate the proposal submission process, ensuring on-time delivery with a focus on accuracy and professionalism.
· Develop and maintain templates for proposals, presentations, and prequalification packages, including Company overview, Competitive advantages, Case Studies & Solution strategies for client challenges, ApexView capabilities, Case studies and testimonials.
· Review and refine proposals for clarity, consistency, and alignment with Apex’s brand and messaging standards.
· Support the Business Development team in preparing follow-up PowerPoint presentations for client meetings that complement submitted proposals.
· Collaborates on marketing literature (brochures, press releases, etc.) to augment the company’s presence in the market.
