We are seeking a detail-oriented and reliable Administrative Assistant to support a long-standing professional organization based in Chicago. This part-time role (on-site) will assist with a wide range of administrative tasks critical to supporting internal leadership teams and managed specialty societies.
What You’ll Do:
✔️ Professionally answer phones, manage voicemails and monitor various email inboxes
✔️ Prepare agendas, meeting materials, and financial reports for boards, committees, and councils
✔️ Accurately take and distribute meeting minutes
✔️ Track follow-ups and ensure deadlines are met
✔️ Assist with basic bookkeeping tasks such as typing and processing invoices
✔️ Help coordinate and run virtual meetings (e.g., Zoom), and create surveys via tools like SurveyMonkey
✔️ Maintain digital and physical filing systems
Who You Are:
✨ Organized and proactive communicator
✨ Comfortable interacting with board members, leadership, and staff
✨ Able to juggle multiple inboxes and prioritize communications
✨ Professional presence when answering calls or greeting visitors
✨ Tech-savvy with Microsoft Office and other digital tools
Qualifications:
✅ Bachelor's degree OR equivalent administrative experience
✅ Strong writing and communication skills
✅ Experience coordinating and preparing materials for meetings
✅ Familiarity with running Zoom meetings is a plus
✅ Must be able to work onsite in River North several days per week
✅ Some tasks may be done remotely
Schedule:
🕘 Part-time (approx. 20 hours/week), Flexible schedule – ideally 3 full days or 4 shorter shifts per week
