Sr. Visa and Immigration Specialist

Summary

The Senior Visa and Immigration Specialist would manage the company’s immigration service program. The Visa and Immigration Specialist must have strong communication and negotiation skills as the job is centered on communication with the client, colleagues and legal advisors. The Specialist must be able to work to tight deadlines even when under pressure, while still being able to provide a high level of customer service. You will be responsible for the full cycle process of the Immigration services including, but not limited to administration, file maintenance, petition review, document retrieval, and other components.

You will work hybrid (3/2 model) out of the Union, NJ Headquarters.

Essential Functions

Administration

  • Manage US immigration work visa administration to ensure compliance, and prevailing wage analysis.
  • Serve as POC for to ensure continuous visibility on immigration matters that impact service delivery, and ensure seamless transition of business units or engagements.
  • Collaborate with and provide specialized, detailed, and customized insights beyond basic reporting capabilities to, strategic business units, and continuously maintain and deliver the information as needed to meet service delivery objectives;
  • Issue monthly reports and initiate extensions.
  • Update tracking system to reflect changes to immigration status approvals.
  • Prepare and sign required legal documentation packets for employees.

Case-work

  • Lead and provide consultation and guidance to all business units related to the PERM process including converting a typical job description to a PERM acceptable job description.
  • Ensure accurate and timely PERM initiations and other related activities including prevailing wage documentation, postings, labor market recruitment and tracking etc.
  • Maintain Public Access Files ensuring compliance, documentation and execution of immigration policies and procedures
  • Manage US immigration work / visa administration to ensure compliance, and prevailing wage
  • Coordinate and maintain required immigration files such as Public Access Files, PERM audit files, OPT- STEM program management, CPT renewals, etc.
  • Prepare and sign required legal petitions.
  • Liaise with outside counsel on all inbound U.S. immigration matters.
  • Process filing fees check/payment requests, attorney immigration invoices and reconcile relevant expenses.

Employee Support

  • Provide support to foreign national employees on all aspects of immigration, including non-immigrant and immigrant visas and on-going support including resolving routine and non-routine questions for foreign nationals.
  • Act as main point of contact for all immigration queries, initiations, service assistance, and related escalations.
  • Prepare and finalize detailed skill and employment verification letters to former employees.
  • Prepare and finalize vendor letters for C2C workers.

Compliance

  • Review and sign new I-9 documentation to ensure accuracy in e-verify.
  • Audit existing I-9 documentation to ensure compliance for W2 and C2C employees.
  • Create, modify and disseminate policies and procedures to ensure consistency in processing at each step of the process in immigration.

Program Development & Training

  • Educate the business on complex nuances associated with foreign nationals so that recommended solutions can be made which support the individual and meet business needs.
  • Partner and communicate with account managers and account directors to maintain familiarity with case status, pending items and provide clarity into ongoing petitions.
  • Create and facilitate immigration training for managers, HR and onboarding colleagues.
  • Build effective relationships with Onboarding, Employee Relations, Recruiters, Managers, Employees and Counsel as they relate to immigration program activities.
  • Enable the engagement and understanding of recommendations through the development and customization of key deliverables (reports, dashboards, presentations, talking points) to Business, Talent, and Senior Manager that transform technical legal concepts into actionable business decisions.
  • Consult with recruiters and account managers on a regular basis to answer questions, resolve issues and explain immigration policy.

Strategy and Policy

  • Develop strategic recommendations on Immigration-related challenges or opportunities;
  • Determine appropriate visa categories, maintaining compliance with Department of Labor and Department of State standards.
  • Identify and manage exceptions and policy inequities.
