Job Description

Our client, a Private Equity firm, is seeking an experienced, dynamic and versatile Executive Assistant to join their NYC team! This is an incredibly opportunity to support a C – Suite Executive as well as 3 other team members. Midtown, NYC

Hours: 8/9am – 5/6pm

Compensation DOE: $100 - $115k base + disc. Bonus

Must be highly adaptable and resilient — calendar is consistently full and subject to frequent, last-minute changes. The ideal candidate will be skilled at prioritizing tasks, managing multiple responsibilities simultaneously, and navigating shifting circumstances with speed and efficiency. While travel is infrequent, it can be logistically complex and requires thoughtful coordination. This role requires someone who will take the initiative to understand the Executives working style and preferences, respond with confidence, and thrive in a fast-paced, ever-evolving environment.

Responsibilities:

  • Provide high-level administrative support to senior team members, including coordinating travel, managing calendars, and supporting ad hoc projects.
  • Prepare and submit travel and expense (T&E) reports, ensuring all receipts and invoices are properly organized and documented.
  • Support the upkeep of contact databases, including Outlook contacts and the company’s CRM system.
  • Help manage conference room scheduling and calendar coordination.
  • Assist with meeting logistics, including setup and breakdown before and after meetings.
  • Handle incoming calls, route them appropriately, and take messages when necessary.

Qualifications:

  • A Bachelor’s degree required.
  • Proven experience in a fast-paced corporate environment; prior experience in financial services is strongly preferred.
  • Proficiency in Microsoft Office Suite is essential.
  • Demonstrated ability to engage with high-level executives and guests with professionalism, warmth, and confidence.
  • Exceptional attention to detail across all tasks and responsibilities.
  • Comfortable suggesting and implementing new ideas or processes to enhance office organization and efficiency.
