We are a fast-growing leader in the dietary supplement industry, seeking a meticulous and organized Document Control Specialist to join our amazing Product Development & Operations Department (DevOps Team). Reporting to the Director of Operations, this role will manage and administer the Document Control System, ensuring compliance with Standard Operating Procedures (SOPs), current Good Manufacturing Practices (cGMPs), and regulatory requirements (e.g., 21 CFR Part 111). The ideal candidate brings 3+ years of experience in document control and quality systems, with strong technical skills and a proactive mindset to support operational efficiency and traceability from product development through finished product production. This full-time, non-exempt position is based in San Pedro, CA 90731, with remote work possible for the right candidate residing in No. CA, CO, NC, UT, FL, or TX.

Responsibilities Include, But Are Not Limited To:

  • Document Control Administration: Serve as the primary administrator for the Document Control System, managing controlled documents (e.g., Request for Quotes, Formula Specifications, Packaging Specifications, Component Technical Documents) to ensure compliance with SOPs, cGMPs, and 21 CFR Part 111.
  • Procedure Execution: Collaborate with the Director of Operations to establish, execute, and maintain Document Control Procedures, ensuring traceability and adherence to internal and regulatory standards.
  • Document Management: Review, update, file, and distribute controlled documents, ensuring formats are consistent, revisions are current, and documents meet procedural requirements.
  • Filing Systems Maintenance: Create and maintain organized electronic and paper filing systems for all controlled documents, ensuring accessibility and compliance with electronic record standards.
  • SOP Development Support: Assist in drafting and updating SOPs related to document control and management, contributing to standardized processes across the DevOps Team.
  • Cross-Functional Support: Provide document control support to Operations, including processing incoming receiving paperwork and assisting with certification submissions (e.g., Organic, Kosher).
  • Project Management Integration: Update Wrike project management system with document control data, ensuring alignment with operational workflows and timelines.
  • Proofreading & Editing: Perform proofreading, editing, and word processing tasks to support the DevOps Team, maintaining high-quality documentation standards.
  • Compliance & Traceability: Ensure complete traceability of documentation from product development through production, supporting audits and quality system reviews.
  • Other Duties: Perform additional document control or operations-related tasks as assigned, adapting to the evolving needs of the DevOps Team.

Skills and Qualifications:

  • 3+ years of experience managing document control systems, preferably in a regulated industry (e.g., dietary supplements, pharmaceuticals, CBD, or cosmetics).
  • Experience with Document Control, Change Control, and Quality Systems, with knowledge of cGMPs and 21 CFR Part 111 preferred.
  • High school diploma or equivalent required; Bachelor’s degree in a related field (e.g., Business, Operations, Quality Management) preferred.
  • Strong technical skills, with proficiency in Microsoft Office Suite (Excel, Word, Outlook), Google Workspace (Sheets, Docs, Slides, Drive, Meet), and web-based applications.
  • Experience with Wrike or similar project management platform.
  • Exceptional organizational skills, with the ability to maintain accurate filing systems and manage multiple projects under tight deadlines.
  • Strong attention to detail and ability to maintain confidentiality with sensitive documents.
  • Excellent interpersonal skills, with the ability to collaborate effectively with colleagues at all levels and work independently on assigned tasks.
  • Proactive problem-solving skills, with a focus on improving document control processes and ensuring compliance.
  • Strong written and verbal communication skills, with experience in proofreading, editing, and formatting documents.
  • Ability to adapt to changing priorities in a fast-paced environment, maintaining ethical conduct and a results-oriented approach.

Physical Requirements:

  • Work primarily involves sitting most of the workday, with occasional walking, standing, and use of stairs in office or warehouse settings.
  • Typing and applying pressure with the fingers and palm, with substantial repetitive movements of wrists, hands, and/or fingers required for document processing and data entry.
  • Exerting up to 10 pounds of force occasionally to lift, carry, push, pull, or otherwise move objects, such as files or office equipment.
  • Clarity of vision at approximately 20 inches or less for analyzing data, reviewing documents, and extensive reading, primarily on a computer monitor.
  • Ability to hear, understand, and distinguish speech in person and on devices (e.g., computer, telephone), and to communicate effectively through spoken and written English.

Pay Grade:

  • $26.00 to $29.00 per hour depending on experience
